The Vail Valley has some of the most spectacular wedding and corporate event venues in Colorado: The Sebastian, Vail Mountain Club, Beano's Cabin, The Lodge at Vail, Beaver Creek Resort, and dozens of private estates, ranches and conference facilities. Getting guests to and from these venues, often over mountain roads, takes a transportation partner who knows these routes intimately.
We have been driving weddings and corporate groups in the Vail Valley since 2015. We know the access roads to Beano's, the parking situation at Beaver Creek, and how to coordinate timing when guests are arriving from Denver International Airport.
Airport transfers for out-of-town guests. Many Vail weddings and corporate retreats bring guests from across the country. We provide seamless airport transfer service from Denver International (DIA) and Eagle County (EGE) directly to your hotel, venue or office. We coordinate multiple vehicles across multiple arrival times so no guest is left scrambling for a ride.
Day-of transportation. On the day itself, we handle bridal party pickups, ceremony transfers, cocktail hour shuttles, meeting and dinner transfers, and reception departures. We work from your timeline, not ours, and we build in buffer time because mountain events do not wait for traffic.

From One Vehicle to 200 Guests
We have coordinated transportation for corporate groups of more than 200 people. There is no fixed maximum, but the available vehicle options depend on the date, season, road conditions and how early the transportation is reserved.
Sprinter vans are the most common choice for Vail Valley corporate groups and weddings. Larger-capacity vehicles may also be available, although they are limited, usually need to be reserved well in advance and generally cost more.
Because these events take place in the mountains, the time of year matters. Snow, road conditions, venue access and mountain traffic all have to be considered when building the transportation plan.
What Coordinating a 200-Person Corporate Group Actually Takes
Every year, we coordinate transportation for a four-day corporate group of more than 200 people in Vail.
Their arrival and departure schedule typically requires approximately 35 vehicles handling guests flying into both Eagle County Regional Airport and Denver International Airport. Those guests arrive on multiple airlines from cities across the country.
Kyla monitors the entire schedule and adjusts for delayed flights, early arrivals, lost luggage, airline rebookings and guests whose travel plans change without notice. Sometimes a delayed connection means a guest arrives hours later than expected, or even at a different airport.
Transportation continues after everyone reaches Vail. For two evenings, approximately nine Sprinter vans run continuous loops between multiple hotels and the corporate group’s dinner location, then return all 200 guests to their hotels.
It is not simply a matter of reserving vehicles. Every driver, vehicle, flight, hotel and dinner movement has to fit together across four days.
